2. President’s Report - Ellie Vivino
a. Orientation: a new member orientation meeting will be held the 2nd week of the new semester.
b. Section leaders’ responsibilities will be reviewed by the board and a new form with the revisions will be created by Denny. Current section leaders: Bass - Denny Howe, Tenor - Pam Baldwin, Alto - Virginia Berger, Soprano 2 - Anne Frankel, Soprano 1 - Madeline Snowdon
c. Presidency: Ellie wants to emphasize the role of EVERY voice in contributing to a successful choir and to encourage each singer to strive for his/her personal best.
d. Name Badges: Kelci Cell has taken over responsibility for the name badges. Refer new members to her for their badges and model expectations by wearing your own badge.
e. Rutter’s Requiem: The board discussed creating a publicity kit for the Rutter Requiem with information about the Requiem and about Dr. Williamson. This can be given to friends and family of the choir, and passed on to media.
4/03 - Evening rehearsal, venue to be determined

4/05 - Rehearsal at Pacific Beach Baptist Church, time to be determined
4/06 - 4 pm Requiem performance at PB Baptist, call time to be determined
f. Education: Pam Deegan led a discussion about having a 20 minute instructional session by a voice teacher on improving the “aging voice” and breath control. It was decided that we will pursue the idea. We also discussed the plan for extra rehearsals after Thursday’s classes to practice the Requiem. Eunice will send an email to choir members to gauge the level of interest.
3. Committee Reports
a. Rutter Requiem Score Distribution - Jean Creek
Jean has handed #s 8 - 56 of the scores. Everyone has to sign to get a copy and is responsible for turning it back in after the concert. Re other music: the choir needs a new librarian. There will be a section leader meeting to discuss ways to streamline this job.
b.Rehearsal Logistics - Eunice Williams
The main improvement for rehearsals is to keep the noise down. Please remind people in your section to wait until the break to talk, even if it has to do with the music. Also encourage silence by modeling the correct behavior yourself.
c. Sunshine - Virginia Berger
Continue to notify Virginia if anyone in your section could use a card for birthday, illness or family matter. Recent cards sent to Dan Chang and Myra Bressel.
d.Technology - Denny Howe
Denny will make an updated web map, but all members need a reminder to use our site as a resource. Many questions are answered there and the songs are available for practice.
e. Education - Pam Deegan
There will be rehearsals for the Requiem starting 1/31/19 and continuing every Thursday for 9 sessions. These will start at approximately 12:15 and last for 90 minutes. Participants should bring a sack lunch. The week prior to each rehearsal info will be provided as to which sections of the score will be emphasized. The last 15 minutes may be devoted to specific vocal parts. Pat will be reimbursed from choir funds for her duties as accompanist and coach. The board also decided that these rehearsals should be mandatory for participation in the performance of the Requiem. Only those who are prepared will sing!
IV. New semester - registration will be 1/31/19 and 2/04/19

2. President’s Report - Pam Deegan
a. Search for president and vice-president for 2019 continuing. Pam Deegan has volunteered to continue her leadership through the spring semester.
b. Kelci Cell will take over the task of updating the contact list and keeping it current.
3. Committee Reports
a. Bowties and Scarves - Vicki Moore
i. We currently have 9 white and 6 red bowties; lots of colored scarves.
ii.The committee voted to sell the music scarves to members and the public at $15.00 each. Tables will be manned by non-performing choir members or relatives to sell the scarves at our concerts.
b.Venues - Maddie Snowdon
i. After discussing the pros and cons of Mt. Miguel, the committee decided not to use it again.
ii. Maddie will check into the possibility of using The Vi for a concert in late April/early May.
iii. Eunice will check with PB Baptist for a definite price to use the space for our rehearsals/concerts in April and May.
c. Rehearsal Logistics
i. On 11/29 we will rehearse in the CELC sanctuary; chairs will be set up for accurate spacing. We will need extra volunteers to come early to help place the chairs.
d. Publicity - Patti Fedler, Kelci Cell
i. Post concert flyer on Facebook
ii. Send individual emails to friends and family (all choir members)
iii. Post to Next Door in different communities

1. Dr. Williamson’s visit - we will pay him $3000.00 plus his airfare
2. Scarves will be sold for $15.00 each. We will need 2 people to man a table at the December concert to sell them. Vicki will bring them to class so choir members can purchase them as gifts. Eunice will send an email reminding anyone who is interested in a purchase to bring exact change.
3. Potluck and talent show - 12/10 at FUMC: potluck breakfast and talent show - 12/13 at CELC: potluck lunch and talent show
VI. Parking Lot: items to discuss at next meeting
1. Workshops to assist singers with voice control: maintaining pitch and eliminating vibrato
2. Use of “toobaloos” - Kelci will email information on these to Pam D. who will then include it in her newsletter.
3. Possibility of Pat helping with the workshops and how much to pay her.
4. Find someone to continue the monthly newsletter after Pam D. retires as president.

Presidents Report - Pam Deegan
1. Welcome Wagon; a discussion of ways to improve our “new member” procedure including:
a. updating current forms - a committee made up of Denny Howe, Pam Baldwin, Holly McCormick and Pam Deegan will work on this.
b. create “New Member” packets with registration forms, practice tips, rehearsal standards, refreshment policy, etc.
c. designating specific choir members to meet new members, give them the packets, and introduce them to other members.
2. We heard from Eunice the college district’s privacy policy. In response, Pam Deegan made up new personal info sheets so that each member could sign to indicate his/her approval to put the info on the choir website.
Travel - Jean Creek, Eunice Williams
1. MCP participants will wear black slacks and black tops for the NYC concert.
2. Jean reminded us that the travel group must be checked in as a group,so punctuality in arrival time at the airport is EXTREMELY important. It was decided that practice on the Faure’ will continue the last two weeks of class.
3. Eunice will send an email to the group regarding the practices and emphasizing the airport arrival time.
4. Eunice informed us that there will be a choir trip to Germany with her in the summer of 2019. More information will be shared later.

Available dates for December 2018 and other possible concerts in 2019 are being investigated.
Publicity - Kelci will pass her accumulated information to Denny; Patti F. is keeping our Facebook page updated.

New Business
1. Bowties - after some dissatifaction was expressed about the size of the gold bowties, Vickie volunteered to alter them. It was decided that the men might wear tone bowties if the gold ties are still too large.
2. Eunice will speak to the organizers of VOC about the possiblity of donations to their choir - perhaps a monetary donation to Stephanie for the choir.
3. We discussed needing clarification about our usual purchase of flowers for the directors. Should it include Stephanie and others directors of VOC?
4. Repetoire meeting is set for 10:30 am July 5 at Eunice’s house to choose music for all of the 2018/2019 season.
5. It was decided that to limit the size of performance goups for small venues, only members of ensembles and Allegro will perform. Eunice will personally select other choir members if necessary to balance parts.
6. The original time (3 pm) of the June 2 concert will be changed so those who wish to attend the memorial service for Barb Schloss will have time to get there.

Scarves arrived and have been distributed. Our attire for the upcoming concerts
will be black slacks, black collared blouses and colored scarves for the women.
Men will wear black slacks, black shirts, and gold bowties.

A group will meet sometime in July at Eunice’s house to work on our repetoire
for the whole 2018/2019 season.
Parking Lot:
1. Selection process of performers for smaller venues. A suggestion was
made that the number be limited to those in Allegro and/or ensembles.
2. More precise sign up sheet for performances (ex. divided into voices).

Scarves arrived and have been distributed. Our attire for the upcoming concerts
will be black slacks, black collared blouses and colored scarves for the women.
Men will wear black slacks, black shirts, and gold bowties.
2. Repetoire
A group will meet sometime in July at Eunice’s house to work on our repetoire
for the whole 2018/2019 season.
Parking Lot:
1. Selection process of performers for smaller venues. A suggestion was
made that the number be limited to those in Allegro and/or ensembles.
2. More precise sign up sheet for performances (ex. divided into voices).

out new music as it is selected. She will be using chorus funds to replace
ink and cartridges in the copiers so she can make photo copies of music.
The CDs are progressing and should be done soon.
A work day will be held on Monday, March 26 at ECC to reorganize music
originals. The work will start at 10 am.
b. Travel: All fees have been paid to Manhattan Concerts. Eunice will ask
if anyone who decides they want to go now can sign up in place of a
couple of chorus members who put down a deposit but can’t go.
c. Venues: Maddy reminded us we need to book dates for our Dec. 2018
and Jan. 2019 concerts since those dates are booked early. Ellie will
check on dates at CLC and First Baptist.

1.The steering committee still needs a vice-president and a 2nd soprano section
leader. Holly McCormick volunteered to help.
2. Second sopranos felt they could use some separate practice; Eunice
suggested working with Stewart 1 time per month, 11:30-12:00.
3. Monday Monitors (section leaders) will communicate with their respective
sections clarifying changes, pointing out difficult passages, and repeating any
instructions from the directors that apply.
4. Lorea Herald will accompany the Faure’ Requiem practices 11:45 - 12:30.
III. Treasurer’s Report:

2. It was decided that Eunice would investigate the legality of combining the
Pacificaires and Cedar Center Choruses to make the bookeeping simpler.

1. The goal of the committee is to use ONLY photo copies of the music for the
protection of our music inventory and to insure that each choir member is using the
same version of each song.
2. New music will be distributed starting Feb. 22.
V. New York trip: Jean will send out email to those who have payments due. Final deadline is Feb. 22.
VI. Venues:
1.The choir doesn’t need any new venues at this time.
2. Eunice will follow up with the Clairemont Performing Arts Center about the
problems we had with parking at our concert. She will also discuss some of the other
issues such as monitors on stage, lighting for the instrumentalists and a backstage
assistant.
VII. Rehearsal Logistics:
1.The First Baptist Church will be available for us to rehearse before the day of
our performance. That should allow us to avoid some of the problems that occurred in
February.
2. Eunice would like to have a year long program starting next fall. All the music
would be decided on, copied, distributed and recorded (fingers crossed!) by
September.There would still be separate programs for winter and spring performances,
but it would give extra practice time for more difficult pieces, and avoid the confusion of
a new batch of music halfway through the year.
VIII. Technology:
1. Denny (techno wizard) has made changes to the Web page:
a. changed Choir Email page to Steering Committee meeting minutes and
posted the Jan. minutes
b. posted 20+ pictures under Member area from the 1/21 party

e. on the Member Area: changed the current song list to Spring 2018,

songs as Eunice decides on them and will move old one to the Archives.

i. It was decided to make copies of the parts of the Faure’
Requiem that will be used by the members of the choir not going to New
York. Eunice will return the scores to FUMC and get back the deposit.
ii. Music copying, organization and distribution will be
handled by: Patti Fedler, Pam Baldwin, Jan McMillan, Anne Frankel, Maddy
Snowdon, Holly McCormick and Bobbi Chifos. A music organization
meeting will be held the end of January or the first week of February to
ready next semester’s music.
iii. There was a suggestion for the creation of several
“loaner” packets of music in brightly colored folders for members who have
misplaced or forgotten their own music. These will be handed out at the
beginning and returned at the end of each class.
iv. Eunice or Pam D. will make an announcement in class
regarding the treatment of music, i.e. no marks or highlighting of original
scores.
v. Jean Creek will start registering students 01/18/2018
for next semester. Helpers(preferably those NOT in ensembles) will help
direct people to the registration table and assign access codes. Jean will do
the actual registration at home.
b. Travel
i. The deadline for any changes to airline or accomodation
reservations is 01/31/2018.
ii. The committee voted to pay for some of Lorea’s airfare
to New York in return for her work as accompanist for rehearsals.
c. Venues
i. As noted in the President’s report, Maddy Snowdon is
the new chair of this committee.
ii. The venue committee will look at Patrick Henry High
School and Mt. Miguel Covenant as possible concert venues.

i. The committee discussed the importance of each choir
participant registering and signing in at every class. This is important for
insurance coverage and funding. Section leaders will be asked to check at
the break that everyone in his/her section has signed in. Eunice will give a
reminder during class.
